Camps/Programs/Multi-Session Products - Recommendations
Overview
Are you considering selling multi-day camps, multi-day sessions, or multi-week programs that have offerings with various start dates? AWC provides many options to set these types of products up to make bookings for guests simplified. Use the Considerations and Examples sections below to help plan the best option for your resort.
Considerations
Below are important considerations to make prior to creating program products:
1. Do you want to track inventory in RTP for every day of the program for reporting purposes?
To accomplish this you can have two components with different inventory pools on a program product.
One component has the start-date and that is what we use in AWC to determine date(s) the guest can book.
The second component is not used online in AWC, but it has every day of the program entered for RTP reporting purposes and auto assigns inventory when the product is sold online.
NOTE: This second inventory pool and component is not accounted for to prevent sales, so this inventory pool should not be set up so that it can oversell, it's simply for reporting and instructor management within RTP. If you don't care about tracking inventory on each day of the program, then the first component is sufficient.
2. Do you want this product to be:
Option A) A "buy a program pack” where guests will choose which days they come? eg: a reservation product?
Option B) A “predictable XX-week program”? eg: guest would sign up for the Saturday program and is enrolled for 12 consecutive weeks?
A) can be set up as a reservation product to allow guests to reserve and cancel dates, but this may be harder to plan staffing needs.
B) is more commonly used for programs as the dates and attendees are usually booked further in advance.
3. Consider Product Inventory gathering to identify how many AWC “attributes” might be added to the product and how that will affect the PDP display.
A) Does it make sense to build multiple products or have the guest make a few selections on the PDP?
B) How many categories/sub-categories will be needed?
C) How complex will the PDP be? Consider using AWC’s “attribute descriptions” features to guide guests through selections. And/or use the long description.
D) If using multiple products ensure the season end-date is set in AWC.
4. Use Inventory Pools or Time-based Activites to control inventory?
We’ve seen 100% adoption rate for these types of products to use inventory pools. A typical setup will include:

Radio-button date
Products with minimal attribute selections or multiple products

A guest first buys a 10-pack product that gives the guest access to a Reservation PDP
On the Reservation PDP, guests can RSVP up to 10 days
Reservation Cancellation has also been enabled but the guest must cancel up to the day before the activity as day-of cancellation is blocked

Product with multiple attributes that determines the start date
Program Sessions - are used to determine how many weeks
Program Days - determines the day of the week for the program being signed up for
Program Times - determines if the activity starts in the morning or afternoon
The Long description is used to provide more details to the guest about start dates/times
WWPC Example
First, the guest selects the camp type they want to learn (Bike, skate, bmx, etc)
This selection populates 1-week camps and start dates with available inventory are displayed
