Hotlisting
Aspenware Payment Plans and Aspenware Subscriptions support automatically blocking lift access in the POS when a payment in Aspenware Commerce fails. AW Commerce also supports reversing the block on the lift access in the POS when a payment subsequently succeeds. In Aspenware Payment Plans, the reverse configuration is also supported, where lift access is blocked until the payment plan product is fully paid off, at which point the block on lift access is removed in the POS.
Subscription Classification
The Subscription classification (Is Subscription) is as a product classification that can be assigned to the subscription product in Aspenware Commerce which links it to the corresponding subscription product in RTP|One. When guests purchase products flagged as Subscription products, they are automatically enrolled in a on-going monthly subscription fee.
Subscription Product
Subscription products are set up similarly to other products in Aspenware Commerce; however they are often more simple than some ski products. These products do not have add-ons associated with them or overly complex attribute combination structures. Often they just have a single attribute like Age and a few age levels with different price points.
Subscription Type
A subscription type is associated to a subscription product, defining the amount that should be charged for that subscription on a monthly basis and more. Rules that are defined within a subscription type include retry days and RTP|One hotlist codes for freezes and cancels. Multiple subscription types can be configured and mapped to different Subscription variants.
Feature Description
Resorts using Square as a payment provider and are on RTP|One as a POS, can offer subscription-based products on their Commerce site. Subscription-based products can charge guests an ongoing monthly subscription fee for each month that they are enrolled in a product (typically a membership). Depending on how subscriptions work at your resort, guests who are subscribers may be eligible to redeem free or steeply discounted products that they must redeem online, in advance, to “reserve” their spot.
Aspenware Commerce handles sending the charge to Square each month, on the same day of their initial purchase, and sends guests a notification of their monthly payment’s success or failure for as long as guests are enrolled in the subscription product.
If a guest has purchased multiple subscriptions within their account, subscription payments will be charged together in the same single transaction if the multiple subscriptions share a charge date and a credit card. If the charge date or credit card is unique, each subscription will be charged independently on its respective date and to its respective card.
A successful charge results in a subscription status remaining “Active” in Aspenware Commerce and without a hotlist in RTP|One. Each month’s successful charge also triggers a successful order confirmation email to be sent to the guest indicating the amount of the subscription charged for the month.
Failed charges result in a subscription status going to “Declined” which triggers the system to retry the payment every day for a configurable number of days before canceling. It also results in the membership access being temporarily hotlisted in RTP|One. Finally, an email is sent to the guest prompting them to update their card in my account within the next 7 days so that their membership doesn’t automatically cancel. For each day after the first failed charge, within the configurable “cancellation forgiveness” time period (i.e 7 days), the system will attempt to charge the membership. For each failed charge attempt, a failed charge email will be sent to the guest, prompting them to update their card. If the guest fails to update their card to a valid card using the setting in My Account for the entire 7-day window, the subscription will cancel automatically and the guest will no longer be charged on a monthly basis or enrolled in a membership. Their access in RTP|One will remain hotlisted.
Guests can update their card(s) being charged for subscription products within My Account. If a payment fails, guests have a configurable number of days to correct their payment information before the subscription automatically cancels.
