Prerequisite Tasks

  • RTP|ONE specific tasks include:

    • Configure lift and pass product headers and confirm they have properly configured required access components.

      • If configuring a product to allow media selection, when creating that product in RTP, the media component should not be a required component but an optional component on the lift/pass product.

    • Create separate product header(s) for media. Media product header(s) must have a required media component.

      • Create distinct media product headers if some media is 2 step printing, likely RFID pass media, and other media is 1 step printing, likely ticket media.

    • If a product header must include media and the guest should not have the option to reload when purchasing this specific product header, set up the product header with a required media component in addition to the access component(s). This may be desired for some products only - like season passes that may include media components. If using reload and media selection via Aspenware Commerce, this configuration should be rare.

    • Ensure Media is set up with RTP Pass Media Prefix. This becomes helpful when resorts want to only allow reload for certain products in RTP.

  • Siriusware specific tasks include:

    • Configure lift and pass products (DCIs) in Siriusware and confirm they have a properly configured access setup.

    • Create a separate general DCI for media which will be added to the online order to account for the cost of new media. The issuance of media will be based on whether a WTP number is included in the online sale and is generated from the main SW DCI. If the WTP number is included, a reload is trigged. If the WTP is not included, SW will issue new media.

2. Infrastructure Tasks

  • RTP|ONE specific tasks include:

    • Requires Axess ‘Smartlink’ contract and configuration before Commerce configuration can start.

3. Commerce Tasks

  • Create a Simple Product in Aspenware Commerce with no product attributes for media. It should be priced at whatever the media fee is (typically $5) and titled whatever your media card name is, for example, J Card, SugarXpress Card, MyThredbo Card, etc.

    • The SKU (PHC) should be the media product header/DCI that should be sold in the POS when access products are purchased as non-reload.

    • If the product is taxed in RTP, define a corresponding tax category on the media product in Aspenware Commerce.

    • If media used for pass sales is a different product in the POS or sold at a different price from ticket media, create 2 unique media products and assign a SKU and price.

  • Configure your core and add-on access product (lift ticket, passes, etc.)that will be later setup as requiring media selection (reload). Start the product configuration process using the configuration guide here.

  • Complete Media selection (reload) configuration on products that are PUB eligbile if reload is an option for these products.

    • Assign ‘Media Priorities’ to Media products

    • Create ‘Media Assignments’ for Access products

3. Settings, Language Strings, and/or HTML Widgets for this Feature

Settings

  • For Siriusware, confirm that the following product classification(s) are created.

    1. The ‘Is Axess PUB’ Product Classification must be added as a classification if not already set up as a product classification.

      1. To set the ‘Is Axess PUB’ Product Classification up as a new classification go to Aspenware Commerce>Product Classifications and select Add Classification and define the following fields as follows

        1. Name: Is Axess PUB

        2. Description: Assign this classification to media products and non-reload access products that are able to be printed at PUBs. DO NOT assign to core products that will leverage media selection (reload).

        3. Select the checkbox for Is Axess PUB.

      2. Click Add.

    2. If the product is configured with reload, the ‘Is Axess PUB With New Media’ Product Classification must be added as a classification if not already set up as a product classification.

      1. To set the ‘Is Axess PUB With New Media’ Product Classification up as a new classification go to Aspenware Commerce>Product Classifications and select Add Classification and define the following fields as follows

        1. Name: Is Axess PUB With New Media

        2. Description: Assign this classification to core products that will leverage Aspenware media selection functionality AND PUB printing if not reloaded. DO NOT assign to media products.

        3. Select the checkbox for Is Axess PUB With New Media.

        4. Click Add.

  • For Siriusware and if using ‘ww_saleid’ configuration at PUBs, the ‘Send Complete Notification’ Product Classification must be added as a classification if not already set up as a product classification.

    1. To set the ‘Send Complete Notification’ Product Classification up as a new classification go to Aspenware Commerce>Product Classifications and select Add Classification and define the following fields as follows

      1. Name: Send Complete Notification

      2. Description: Assign this classification to core products that leverage media selection and will be printed at PUB when reload is not selected. This enables sending a QR code via email for PUBs to print from when necessary.

      3. Select the checkbox for Send Complete Notification.

      4. Click Add.

Message Templates

  • For Siriusware and if using ww_saleid to print media at the PUBs, upon a successful charge, a confirmation email will be sent to the customer, and the order will be sent to Siriusware. Once Siriusware accepts the order, it will assign a sale ID to the order and notify Aspenware of the order status. Aspenware will generate a second email to send to the customer that includes the Siriusware sale ID formatted as a QR code.  This email must be added to your environment. Talk to your Aspenware Representative if you don’t have the ‘OrderCompleted.CustomerNotification' message template available.

Detailed Setup Guide

  1. For Siriusware Only - Assign ‘Is Axess PUB’ classification

  2. For Siriusware Only - Assign 'Is Axess PUB with New Media' classification

  3. For All RTP and Sirisware where Aspenware Order ID is configured on PUBS - Update Customer Confirmation Email to include QR Code with Order ID

  4. For Siriusware Only where ww_saleid is configured on PUBS - Configure QR Code with ww_saleid to be emailed

1. For Siriusware Only - Assign ‘Is Axess PUB’ classification

NOTE: Skip this step if using RTP|One.

  • Go to Aspenware Commerce > Product Classifications. Click Add Assignment and choose both the Category containing the media product requiring assignment from the Category dropdown and the desired media product from the Product dropdown.

    • Do not check the associated attribute values.

IMPORTANT: Assigning the 'Is Axess PUB' Classification should only be done at the product level, not the category level or the attribute level, and should only be added to non-reload and/or media products, which should have been created during the prerequisite steps detailed above.

  • In the Classification table, check the ‘Is Axess PUB’ classification to Assign it to the media product.

  • Click Add.

2. For Siriusware Only - Assign 'Is Axess PUB with New Media' classification

NOTE: Skip this step if using RTP|One.

  • Go to Aspenware Commerce > Product Classifications. Click Add Assignment and choose both the Category containing the core lift access product requiring assignment from the Category dropdown and the desired core lift access product from the Product dropdown (i.e. lift ticket or season pass product).

    • Do not check the associated attribute values.

  • In the Classification table, check the ‘Is Axess PUB with New Media’ classification to Assign it to the core lift access product.

  • Click Add.

3. For All RTP and Siriusware where Aspenware Order ID is configured on PUBS - Update Customer Confirmation Email to include QR Code with Order ID

For PUB printing, and for easy fulfillment of media, add the Aspenware Order ID, which is stored in RTP|ONE as the external order id and in Siriuwsare as the ww_sales table in the sale_text column, as a QR code or barcode to the order confirmation email. This makes PUB printing possible and makes looking up orders easy for front-line staff. This barcode is the same id that is already displayed on the order confirmation email, usually your prefix + the nop order id, so for example PK12345, in barcode form. 

  • Go to Content Management>Message Templates, and click Edit to edit the ‘OrderPlaced.CustomerNotification’ email template. 

  • To edit the email HTML, go to Tools>Source Code and adjust the HTML from there in the Source code window.

    1. Paste the code below into your HTML in the appropriate place. Place it after %Order.Products% if the barcode should go at the end of the email, and before the Billing Address portion of the body if the barcode should be placed at the beginning of the email. 

    2. The order prefix is highlighted as [PREFIX] in the snippet below should be updated to your order prefix.

  • For BARCODE FORMAT:

4. For Siriusware Only where ww_saleid is configured on PUBS - Configure QR Code with ww_saleid to be emailed

If using ww_saleid configuration at PUBs, upon a successful charge, an order will be created in Siriusware with a saleid. A follow-up email with the QR code to use for PUB printing will be sent following the order confirmation email to the guest.  

  • Go to Aspenware Commerce > Product Classifications. Click Add Assignment and choose both the Category containing the core lift access product requiring assignment from the Category dropdown and the desired core lift access product from the Product dropdown (i.e. lift ticket or season pass product).

    • Do not check the associated attribute values.

  • In the Classification table, check the 'Send Complete Notification’ classification to Assign it to the core lift access product.

  • Click Add.

  • Next, go to Content Management>Message Templates, and click Edit to edit the ‘OrderCompleted.CustomerNotification’ email template. 

  • To edit the email HTML, go to Tools>Source Code and adjust the HTML from there in the Source code window. Paste the code below into your HTML in the appropriate place.

  • For QR CODE FORMAT USING SIRIUSWARE’S ww_saleid:
