Prerequisite Tasks

POS Tasks

  • Set up the appropriate delivery methods in RTP|One (from Delivery Method Administration.) Be sure to obtain the Delivery Method codes for each delivery method as you will need these for setup in Aspenware Commerce.

  • Set up the appropriate delivery locations (called Delivery Detail in RTP|One.) After setting these up, you will need to work with your Aspenware Representative or someone at your resort with SQL access to obtain the Delivery Detail codes from the database for use in configuring delivery locations in Aspenware Commerce.

  • If you plan to charge the guest for shipping, ensure that Shipping Fee has been set up as a product header within RTP |One. Note the code for use in configuring Aspenware Commerce.

Commerce Tasks

  • Ensure that media products or products that include media have been set up in Aspenware Commerce.

  • If you are charging for shipping/delivery fees, set up the add-on product for those fees as a simple add on product shell with a name. price, and SKU (product header code). Add on shipping fee products should be added to the unpublished ‘Add On’ category.

Detailed Setup Guide

  1. Set up Delivery Method

  2. Set up Delivery Location(s)

  3. Assign Delivery Method to Product

  4. (Optional) Assign Delivery Fee to Product

IMPORTANT: If you wish to assign shipping and delivery fees for the media product or non-reloadable product, please skip to Step 4 to configure as this requires additional setup.

1. Set up Delivery Method

  1. Go to Aspenware Commerce > Delivery to open the Delivery Methods page.

  2. Click Add Delivery Method.

  3. On the Add Delivery Method page, specify the following:

    1. Name: Enter the name of the delivery method shown to customers during checkout selection.

    2. Lead Days: Enter the desired number of days. Use this to limit selecting a method that requires lead time too close to the reservation date. For example, if the standard shipping requires 10 lead days, then set it up for 10 lead days and guests will only see the Standard Shipping method show up if they are booking more than 10 days out from their reservation date.

    3. Shipping Code: Enter the RTP|One delivery method code that correlates to this delivery method.

    4. Ship To Address: Check this box if this delivery method requires the customer to provide a shipping address at checkout.

    5. Override Shipping Fee: Not used for media products, only used for Retail, which is detailed in legacy documentation here.

  4. Click Add.

  5. To edit a delivery method, click the Edit button next to the delivery method you wish to edit on the Delivery Methods page and make the appropriate change. You can inactivate a method by unchecking the Active checkbox. To delete a method from the list, please contact Aspenware.

2. Set up Delivery Location(s)

One or more delivery locations must be set up for each delivery method configured. (For delivery methods that require additional fees, see step 4 below.)

NOTE: The terms ‘shipping’ and ‘delivery’ are used interchangeably within Aspenware Commerce. Delivery methods are the same thing as shipping methods. Delivery locations are the same as shipping methods.

  1. Go to Aspenware Commerce > Delivery.

  2. Click View Delivery Locations.

  3. Click Add Delivery Location on the Delivery Locations page.

  4. On the Add Shipping Location page, enter the following:

    1. Name: Enter the name of the delivery location.

    2. Description: This is not used and can be left blank.

    3. Shipping Method: Select the method to which you wish to assign the location from the drop-down list.

    4. RTP Code: Enter the delivery location code from RTP|One (This can be found in the DeliveryLocation table of the database, not in RTP|One User Interface.)

    5. All other fields can be left blank. Shipping addressed are collected through another feature at checkout.

  5. Click Add.

  6. To edit a delivery location, click the Edit button on the Delivery Locations page next to the delivery location you wish to edit. You can delete the location by clicking the Delete button.

3. Assign Delivery Method to Product

This step is for media products or products that include media that do not have a shipping fee associated with them. For configuring products with shipping fees, see Step 4 below. Add the delivery methods to the media product, not the parent product.

  1. Go to Aspenware Commerce > Delivery.

  2. Click Assign Delivery Methods to Products.

  3. Make the following selections

    1. Product: Select the appropriate media product or product (only if the product is a non-reloadable product that includes media) from the Product dropdown.  (Product drop-down is in alphabetical order.)

    2. Product Attribute (Optional): If the delivery method should apply when a specific attribute has been selected, choose that attribute from the Product Attribute (Optional) drop-down list. Media products should not be attributed, so do not check attributes if assigning to a media product.

    3. Delivery Methods: Select the appropriate delivery method(s) from the Delivery Methods list. Us the Ctrl key to click on more than one method.

  4. Click Add.

  5. Product delivery method assignments can be deleted by clicking the Delete button next to the assignment on the Assign Products to Methods page.

HINT: If a location is not available to select during checkout, it is likely configured with a lead days value that is greater than the cart item’s lead days.

Figure A: Once configured, the guest will see the options for delivery methods displayed during checkout.

4. (Optional) Assign Delivery Fee to Product

Charging shipping and delivery fees at the product level is supported through the use of a combination of add-on product functionality and the delivery plugin.

  1. Go to Catalog > Products.

  2. Click Add New.

  3. On the Add new product page, enter the following:

    1. Name: Enter 'Shipping Fee' (This product will be added on to other products.)

    2. SKU: The SKU should map to an actual RTP |One product header code that will be booked when a customer selects to ship a product.

    3. Price: Enter the amount that the guest will be charged for shipping fees. (Scroll down to see the Price section below the Product Info section.)

  4. Click Save.

  5. Next, go to Catalog > Products page and search for the product that will have delivery fees applied to it, and then click Edit.

  6. On the Edit product details page, select the Product attributes tab.

  7. Click Add a new attribute.

  8. On the Add a new attribute page, enter the following:
(This will create a new product attribute that will define whether the product will be charged a shipping fee or not.)

    1. Attribute: Select the attribute (e.g. Shipping Fee) from the drop-down list. If the attribute does not exist, you will need to add it under Catalog > Attributes > Product attributes.

    2. Text prompt: If it should appear in the upgrade your experience box, enter [Add On]. If it should appear in the Dynamic box, enter [Dynamic]. Otherwise, leave it blank.

    3. Is Required?: Check this box.

    4. Control type: Select Radio Button list.

    5. Default Value: Leave this blank

    6. Display Order: Enter the display order based on your attribute display preference.

    7. Enable Linked Attribute: Leave unchecked

  9. Click Save.

  10. Then add/edit an attribute value for Shipping Fees to the attribute, navigate to the attribute’s row and click View/Edit values under the Values column.

    1. If the attribute has predefined values configured within the Catalog > Attributes > Product Attributes section, these will show up in the attribute values table when the attribute is added to the product. These can be removed if necessary.

  11. Then add an attribute value, by clicking Add a new value.

    1. Attribute value type: Select ‘Associated to product’ type.

    2. Associated product: Click Associate a product and search for and select the add-on product from the list of products. Choose the Shipping Fee product created from steps 1-2.

    3. Customer enters quantity: Leave unchecked.

    4. Product Quantity: Set to 1.

    5. Name: Specify the text that will display on the PDP for the add-on product (e.g. Priority Shipping | Get your pass this week.)

    6. Is Pre-selected?: Check this only if paid shipping is the only option. If you are giving the option for free standard shipping or pick up at resort, for example, you may not want to pre-select this option.

    7. Display Order: Update the Display order if needed.

    8. Picture: Include an icon picture to display if wanted.

  12. Click Save.

  13. If you are going to offer other delivery options in addition to the one that includes the shipping fee, then set up additional value(s) for this attribute (e.g. Free Standard Shipping or Pick Up my Pass) and pre-select the one that will be the default for the guest.

  14. Next, Go to Aspenware Commerce > Delivery > Assign Delivery Methods to Products.

  15. In the Product drop-down, choose the core product that will have delivery fees applied to it.

  16. In the Product Attribute (Optional) choose the Shipping Fee attribute value.

  17. Highlight the Delivery Method defined for shipping with a delivery fee. If a Paid Shipping ‘Delivery Method’ and ‘Delivery Location’ have not yet been created, they may need to be added by following the Delivery Method & Delivery Locations process detailed in the earlier steps above.

  18. Click Add to save.

Associate any other product attributes to the correct delivery method if needed (e.g. Standard Shipping.)
