Certain discounted passes and products require validation of customer military and/or student status. Aspenware integrates with SheerID to enable student/military validation. Once received, codes from SheerID enable certain restricted products to be purchased on the ecommerce site. 

Setup Checklist

This section is a comprehensive and high level summary of all tasks and prerequisites required for this feature to function properly. This section is purposed for use after an administrator is familiar with configuring this feature as an “audit” checklist. For detailed set-up instructions, jump down to “Prerequisite Tasks” and “Detailed Setup Guide” and then follow up with this checklist to ensure all steps are completed.

POS Tasks

RTP - The product must be a fully configured product in the POS system and able to be sold in ONE|Resort. REQUIRED

  • See product shell Configuration: Product Shell documentation for RTP’s general product configuration requirements. REQUIRED

  • Setup an Instructor Activity for each Start Time. REQUIRED

  • Product Component is configured as a Private Lesson Component type and linked to each Instructor Activity. REQUIRED

    • ‘Allow No Instructor Booking’ is marked on the Private Lesson tab of the Private Lesson Product Component. REQUIRED

  • Create five Prompts to link to AWC REQUIRED

    • Ability level

    • Phone number

    • Number of Students

    • Comments

    • Instructor request

1. Add Specification Attributes

  • If not already configured, add the following specification attributes. REQUIRED

    • Private Lesson Phone [Custom] [Prompt]

    • Private Ski Lesson Optional Comment [Custom] [Prompt]

2. Configure Prompts

  • If not already setup, configure the private lesson prompts. REQUIRED

    • Student Count [Custom] [Prompt]

    • Private Lesson Requires Ability Ski [Custom] [Prompt] 

    • Instructor Comment [Custom] [Prompt]

    • Private Lesson Phone [Custom] [Prompt]

    • Private Ski Lesson Optional Comment [Custom] [Prompt]

PREREQUISITES

1. Modify Prompts OPTIONAL

  • If any of the drop-down values on the checkout screen need to be modified, update those. ie: selections for number of students is currently 1,2,3 but looking to update selections to 1,2,3,4.

2. Add Product Classification

  • Add the product classification “Requires Private Lesson Profile” to the product. REQUIRED

  • If private lessons have multiple start times configured in RTP, enter RTP’s private lesson component code in the product classification SKU field. When applicable, select the start time attribute(s) for each unique component code. OPTIONAL

DETAILED SETUP

Prerequisite Tasks

This section describes all requirements that must be completed before you can begin setting up this feature. Once these tasks are complete continue to the next section.

POS Tasks

    • This is required because Aspenware uses the Default Start Time of the Instructor Activity.

    • ‘Allow No Instructor Booking’ is marked on the Private Lesson tab of the Private Lesson Product Component.

  • Create five Prompts to link to AWC. Take note of the code as this will be added into AWC at a later step.

Aspenware Commerce Tasks

1. Add the Private Lesson Profile specification attributes:

If not already configured, specification attributes must be created in order to configure prompts.

NOTE: This only needs to be completed once and will apply to all Private Lesson Products.

  • To add the required specification attributes, go to Catalog > Attributes > Specification attributes > Add new

  • Ensure the Attribute info drop-down is expanded > in the Name field enter the attribute name exactly as spelled in the examples below > click Save and Continue Edit

  • Ensure the Options drop-down is expanded > click Add a new option > in the Name field enter the option name exactly as spelled in the examples below > click Save

WARNING: Private Lesson prompts must be set up with the correct specification attribute name and option name as detailed below.

  • Display order: This field is not used, leave the field as “0”.

  • Specify color: This field is not used, leave unchecked.

2. Configure Private Lesson Prompts

If not already set up, configure the private lesson prompts.

NOTE: The Private Lesson Profile specification attributes must be set up before this section can be completed.

  • To configure the prompts go to Aspenware Commerce > Prompts > then find the Private Lesson Prompts and click Edit next to each one at a time.

  • Modify the following values using the table below as a guide:

    • Unity Code: This should match RTP’s Prompt code from setup in prerequisite tasks.

    • Description: Enter the name of the prompt that you want to be displayed to guests in checkout.

    • Prompt Type: Select between “List” or “String” based on the prompt (see table below).

    • List Options: If “List” is selected for the Prompt Type, then enter the first selection guests will see from the drop-down in checkout. Then click Add. Repeat these steps to add multiple options in the dropdown.

    • Display Order: The default value is zero but this can be optionally set to higher values. The higher values will display after the lower values on the checkout screen.

    • Required: Check this box if the guest must make a selection in order to complete checkout. If the guest does not need to make a selection for this prompt, leave it unchecked.

WARNING: Do not change the “Unity Code” values or “Prompt Group” values. These are automatically generated and are needed to have the prompt appear in checkout and to have guest responses send to RTP successfully.

Detailed Setup Guide

This section describes all required steps to set up the feature after prerequisite tasks have been completed.

1. Modify Prompts

The Prompts screen can be used to modify private lesson prompts to change the name and available selections guests see during checkout.

  • To modify private lesson prompts go to Aspenware Commerce > Prompts > then find the desired Private Lesson Prompt and click Edit next to it.

  • Modify the following values using the table below as a guide:

    • Unity Code: This should match RTP’s Prompt code from setup in prerequisite tasks.

    • Description: Enter the name of the prompt that you want to be displayed to guests in checkout.

2. Add Product Classification(s) to the product

  • Go to Aspenware Commerce > Product Classifications > Add Assignment.

  • Select the Category and Product from the dropdowns

  • If the product has a single start time setup in RTP:

    • Find the Requires Private Lesson Profile product classification and check the box next to it in the Assign column.

    • Click the Add button.

  • If the product has defined start time(s) based on an attribute selection on the PDP:

    • Select the category and product.

    • Check the box next to the first start time attribute.

    • Find the Requires Private Lesson Profile product classification and check the box in the Assign column.

    • In the SKU column textbox enter RTP’s component code (not the PHC).

    • Click the Add button.

    • Repeat these steps for the other available start times.

NOTE: All the created Private Lessons prompts that have been set up on the Prompts page will appear in checkout on any product assigned the Requires Private Lesson Profile classification. You can add custom prompts to the products but only the Private Lesson Prompts as described in this guide will save to the Private Lesson area of RTP.
