Detailed Setup Guide
Set Up Rental Locations
Assign Rental Location Selection to Products
Enable Default Rental Location (optional)
IMPORTANT: An RTP|One environment configured with “Days = quantity” is not supported and must be set up as “Days = units.”
1. Set Up Rental Locations
NOTE: All rental products and add-ons within an order are assigned to a single rental location. Orders placed with a Rental Location product and a non-Rental Location product will be sent to the POS as two separate orders. The rental Location product will go to the Rental “Sales” Location and the non-rental product will go to the resort’s defined Ecommerce Sales Channel. The order in RTP will display the order number as two parts ie: AW1001-1 and AW1001-2.
Go to the Aspenware Commerce > Rental Locations page.
Click Add Rental Location.
Enter the information for the Rental Location. An asterisk ( * ) indicates an optional field that should be filled in for the plugin to have full functionality.
Pickup Site Name:- Enter the name of the rental location.
Address*: Enter address or description of where to find the rental location.
Phone*: Enter the phone number to call to reach the rental location.
Hours of Operation*: Enter the store hours of operation (during the winter season.)
Map Image URL*: - Enter a .jpg URL for a photo to display where to find the rental location. Recommended size is 800 px high by 548 px wide.
Map Image API*: ind the location on Google Maps, select share and copy the link to share. (i.e. https://goo.gl/maps/q4tZqPcg3Zy)
Demo Brands (Comma Separated)*: - Enter a comma-separated list of gear brands available at the rental location.
Nearby Hotels (Comma Separated)*: - Enter a comma-separated list of hotels/accommodations near the rental location.
Description*: Enter a short description to prominently display.
Village*: If multiple villages/areas within the resort, indicate the area where the rental location is located. If the resort does not contain multiple villages, just enter the resort name.
Distributor Code*: - If using rental locations in RTP|One with RTP|Connect, then list the rental location distributor code where the orders assigned to this location will be booked. If using RTP|ONE with Unity, then list the rental location code itself. If using rental locations in Siriusware, enter the Siriusware rental shop description.
Display order: - Order of display
Requires Phone*: If this is checked and a guest selects this location, then during the checkout process, the guest will be required to enter a phone number so that the rental location can reach them.
Is Default: If this is checked, then this location will be the default selection and the guest will no longer need to select a rental location, and that the rental map is no longer displayed. This will then send all of the guest’s rental reservation details to that one default shop. This feature also removes complexity for the guest, since the shopper no longer needs to select a rental location when reserving rental products.
Click Add.
Example of a fully populated Rental Location page for the guest:
2. Assign Rental Location Selection to Products
Go to Aspenware Commerce > Product Classifications.
Click Add Assignment.
Select the Category containing the product requiring assignment from the Category drop-down.
Select the desired product from the Product dropdown. (The product drop-down is in alphabetical order.)
If rental location selection is specific to a particular attribute combination or add-on selection and does not apply to the entire product, check the desired product attributes or add-on.
If an add-on product requires a rental profile that should be assigned to the same user who is assigned to the add-on product, rather than the parent product assignee, then set up a rental profile at the add-on product level.
In the Classification table, scroll to‘Requires Rental Location' and check the Assign checkbox.
Click Add.
3. Enable Default Rental Location (optional)
Resorts using RTP|ONE may specify a default rental shop in Aspenware Commerce, which will then send all of the rental reservation details to that one default shop. This feature also removes complexity for the shopper, since the shopper no longer needs to select a rental location when reserving rental products. Lastly, the rental line items are written to RTP|ONE as a separate order, exactly as they do currently, so the rental shop staff person only needs to see and fulfill rental line items, not other snow products.
In Admin, go to Aspenware Commerce > Rental Locations.
Select the rental location you wish to make the default.
Click Edit.
Check “Is Default.”
Click Update.
Navigate to your public store and select any rental product that’s configured to use a rental location. You’ll see in the purchase flow that the shopper no longer needs to select a rental location and that the rental map is no longer displayed.
Open RTP|ONE and search for your rental order to confirm that it’s been booked to your desired default rental location. Furthermore, if you have a mixed cart, with other snow products, you’ll see they write to RTP|ONE as a separate order, just as before.
